Notifications should help the next person act. Choose who needs to know that a set is ready or that processing failed, rather than sending every update to every account.
Connect each notification with a decision
A completion message is useful to the reviewer who can compare the results and release the set. A failure message is useful to the person who can check the source or request help. If nobody is responsible for the next action, another email does not solve the workflow. Define the recipient by responsibility rather than by who happens to be on the team.
Keep project identity in the handover
A notification should lead to a named project with a stock reference, original photographs and visible processing status. The recipient should not need to search a camera roll to work out which car is involved. Use consistent naming across the studio and stock system so the person opening the message can make a useful decision quickly.
Separate operational messages from billing responsibility
The photographer may need failure updates while the owner handles purchase and balance questions. Keep those responsibilities clear. A generation-credit return does not automatically mean a payment has been refunded, and a payment reversal is not necessarily a processing failure. Route the question to the person who can review the relevant ledger or purchase record.
Check whether messages lead to action
Review a few real projects and see whether completion messages were followed by timely approval and publishing. If emails are ignored, simplify the recipient list or change the handover routine before adding more alerts. Keep in-app status available as the source of truth so a missed email does not leave the team guessing about the request’s outcome.
Your dealer checklist.
- Assign recipients according to the next action.
- Include a useful project and stock identity.
- Separate billing and photo-processing responsibilities.
- Keep in-app status visible.
- Review whether notifications improve the handover.
Common questions.
Should every member receive completion emails?
Only where they need to act on the set. A smaller, accountable recipient group is often more useful than broadcasting routine updates.
Does a missing email mean the generation failed?
Not necessarily. Open the project and check its recorded status before starting another request.
