Busy intake exposes weak naming, unclear review ownership and duplicate work. Prepare the process before increasing the number of vehicles moving through it.

Check the capture and reference standard

Make sure every photographer can follow the required views and stock-reference convention. Use one clear project per vehicle and inspect saved files before the vehicle leaves the bay. More throughput magnifies small source problems: a missing rear view repeated across many cars becomes a substantial reshoot queue. Keep the capture standard short and visible.

Agree queue and review responsibility

Decide who monitors pending work, who reviews samples and who approves the remaining results. Avoid having several people start generation because they cannot see the next owner of the task. Check current progress before repeating a request. Set an escalation route for failed or delayed jobs so the team has an alternative to clicking generate again.

Keep styles and credits predictable

Retire unneeded presets and make the default choice obvious. Ask the account owner to review the balance and purchase history before the intake period. Keep generation-credit returns separate from payment questions. Do not confuse a large available balance with a guarantee that every source is ready to process; quality checks remain necessary even when the queue is busy.

Protect the publishing handover

Prepare the person importing approved sets to recognise incomplete galleries and alternate export formats. Include the stock reference and intended lead image with the handover. Check the live destination at the normal quality standard rather than removing that step to increase volume. Review the first few vehicles early, when a crop or import problem can still be corrected before affecting the rest of the intake.

PUT IT INTO PRACTICE

Your dealer checklist.

  • Confirm the capture and stock-reference standard.
  • Assign queue monitoring and review owners.
  • Make default presets easy to identify.
  • Review credit readiness with the account owner.
  • Inspect early live listings before increasing volume.

Common questions.

Should review be reduced during a busy period?

Keep critical vehicle-accuracy and publishing checks. Improve the handover and remove avoidable duplication rather than relying on unchecked output.

Does a delayed request need another generation?

Check its recorded status and the supported recovery path first. Starting another paid request may duplicate work that is still processing.
